REGISTRATION

When will I receive my registration confirmation?

As soon as you complete your registration and payment, check your inbox for your confirmation & receipt. Registration confirmations and some event-related communications will be sent from no-reply@pheedloop.com. Be sure to check your spam or junk folder and add this email to your safe sender list.

What are the registration options for the conference?
  • Full Conference Registration – ESCA Member – Discounted rate for ESCA members. Includes full access to all conference sessions, meals, networking activities, and receptions. *Please note that registration for the golf tournament requires an additional fee.
  • Full Conference Registration – Non-Member – Available to industry professionals who are not ESCA members. Includes full access to all conference sessions, meals, networking activities, and receptions at a higher registration rate. *Please note, registration for the golf tournament requires an additional fee.
  • Guest Registration – Required for any guest over the age of 21 attending the conference events. Includes select meals, networking activities, and receptions.
  • Child Registration – Required for attendees under the age of 21 attending the conference events. Includes select meals, networking activities, and receptions.
    *Please note that children under the age of 3 are complimentary
Is there an early-bird registration deadline?

Early-bird pricing is unavailable for this event. We offer pre-event pricing and on-site pricing at a slightly higher rate. See all pricing here.

When is the registration deadline?

You can register up until the event begins, including on-site registration. However, on-site registration comes with a higher fee, and hotel availability may be limited. To secure the best experience, we strongly recommend registering at least 30 days prior to the event.

Am I allowed to bring a guest or companion to the conference?

Full conference attendees are encouraged to invite guests or companions. To ensure their participation in daily activities, guests or companions must be registered and have a visible badge. 

Do I need to register my guest or child separately?

Yes, all guests and children attending conference events must be registered and will receive a conference badge for access. 

How can I add a guest or child to my registration?

Please go to the Registration page and pick the registration category, guest or child.

How can I update my registration?

What if I need to cancel?

We understand that sometimes things happen, and plans need to change.  Please let us know right away at events@esca.org.

All cancellations are subject to a $75 administrative fee, and approved refunds will be processed within 30 days after the event according to the following schedule:

  • 75+ days before the event – Full refund
  • 15-74 days before the event – 50% refund
  • 0-14 days before the event – No refund

ACTIVITIES & NETWORKING

Are there any networking events planned?

Yes, we focus on having several networking opportunities available each day for our participants. Please visit the Agenda page and use the funnel icon to filter activities and networking events. 

How do I sign up for daily activities?

You can sign up for activities during registration. If you would like to update your selected activities, please contact events@esca.org.

Do any activities require an additional fee?

The Golf Tournament is the only activity that comes with a fee. All other activities are included in your registration. 

Can I sign up for multiple activities at the same time?

We ask that attendees sign up for one activity per day. Certain activities may overlap, and to leave room for everyone at the conference, please only sign up for one afternoon activity per day. 

How do I know if a specific activity is full?

Activities with limited availability will be clearly marked on the registration site as “Join Waitlist” when you attempt to sign up. If an activity is already full, we recommend adding yourself to the waitlist, and we’ll notify you if a spot becomes available. 

Can I change or cancel my selected activity after registering?

Yes, please contact us at events@esca.org, and we’ll assist you with any changes.

How can I get to the golf course?

Complimentary transportation is provided for all resort guests to and from the golf course.

Transportation for the golf tournament will be arranged by ESCA through private shuttles.

HOTEL ACCOMMODATIONS

What is the official conference resort, and how can I contact them?

The iconic Fairmont Banff Springs will host the ESCA Summer Educational Conference.

What are the check-in and check-out times at the resort?
  • Check-in: 4:00 PM
  • Check-out: 12:00 PM
What is the resort's cancellation policy?

You can cancel your reservation up to 7 days prior to the event without penalty.

Is there a discounted room rate for conference attendees?

Yes, the discounted rate is automatically applied when booking through the reservation link. If you are calling in your reservation, please make sure to say you are with the ESCA Summer Educational Conference to receive your rooming discount. 

Can I book a different hotel?

Absolutely. While we encourage attendees to stay at the designated conference hotel for convenience and networking opportunities, you're welcome to book alternative accommodations—such as another hotel or an Airbnb—that better suit your preferences or budget.

What is the nearest airport to the conference?

Fly Into Calgary International Airport (YYC)

  • Closest major airport to Banff, served by most major airlines.
  • Approximately a 90-minute scenic drive (130 kilometers or 87 miles) to Banff National Park.

What are the recommended transportation options for getting to and from the conference venue?

The conference is located at the Fairmont Banff Springs Hotel. Conference attendees are welcome to drive or fly to the conference.

What are the transportation options for attendees flying into nearby airports?

Booking note: Shuttles can fill up fast, so book at least a month in advance to guarantee availability.

Are there any parking options available for attendees driving to the conference venue?
  • Overnight self-parking is available in a secured garage at $25 CAD per night/per vehicle.
  • Valet charges are $37 CAD per night/per vehicle.
What if I want to drive myself to the conference?

If you prefer to drive, all major rental car companies operate at Calgary International Airport, with additional options available in Banff.

    Who can exhibit at the Summer Educational Conference?

    Exhibiting is open to companies offering products and services relevant to the event and exhibition industry.

    What are the benefits of exhibiting?

    Exhibitors gain direct access to industry leaders, dedicated show floor time each morning and during breaks, a 30-second video in the break slides, brand exposure through our website, digital materials, onsite signage, and listing on the exhibitor page. 

    How do I get a booth?

    Please purchase your booth during the registration process un. Register here.

    What is included in the exhibitor package?

    Included in the 8×10 booth package

    • One (1) 6’ draped table

    When and where do exhibitors set up?

    Move In: Sunday, June 28, 2026, 8:00 AM – 5:00 PM

    Exhibit Hours:

    • Monday, June 29: Morning & break periods

    • Tuesday, June 30: Morning & break periods

    • Wednesday, July 1: Morning & break periods
      (Exact exhibit hours will be shared closer to the event.)

    Move out: Wednesday, July 1, 2026, 12:00 PM – 7:00 PM

    Can I ship materials in advance?

    Can I provide giveaways or promotional materials?

    Yes! Giveaways and promotional materials are encouraged to attract attendees to your exhibit space.

    How does the 30-second video in the break slides work?

    To provide maximum visibility and impact for your brand, exhibitors may submit promotional content that will be displayed on screen during conference breaks throughout the event.

    You may submit either:

    • One slide (standard presentation aspect ratio, 16:9) to be included in the rotating break slideshow.
    • One video up to 30 seconds that will be played during break periods.
