REGISTRATION

When will I receive my registration confirmation?

You will receive a confirmation email immediately after completing your registration and payment, sent to the email address you provided.

What are the registration options for the conference?
  • Full Conference Registration – Member: Discounted rate for ESCA members. Includes full access to all conference sessions, meals, networking activities, and receptions.
  • Full Conference Registration – Non-Member: Available to industry professionals who are not ESCA members. Includes full access to all conference sessions, meals, networking activities, and receptions at a higher rate. Golf tournament registration requires an additional fee.
  • Guest Registration: Required for guests 18 and up attending conference events. Includes select meals, networking activities, and receptions.
  • Child Registration: Required for children 17 and under. Includes select meals, networking activities, and receptions.

*Golf tournament registration requires an additional fee for all participants.

Is there an early-bird registration deadline?

Early-bird pricing is unavailable for this event.

When is the registration deadline?

You can register up until the event begins, including on-site registration. However, on-site registration comes with a higher fee, and hotel availability may be limited. To secure the best experience, we strongly recommend registering at least 30 days prior to the event.

Am I allowed to bring a guest or companion to the conference?

Full conference attendees are encouraged to invite guests or companions. To ensure their participation in daily activities, guests or companions must be registered and have a visible badge. 

Do I need to register my guest or child separately?

Yes, all guests and children attending conference events must be registered and will receive a conference badge for access. 

How can I add a guest or child to my registration?

To add a guest or child, simply click the link in your confirmation email. Log in using the credentials provided to access your registration history. If you need assistance at any point, please reach out to events@esca.org

What if I need to cancel?

We understand that sometimes things happen, and plans need to change.  Please let us know right away at events@esca.org.

All cancellations are subject to a $75 administrative fee, and approved refunds will be processed within 30 days after the event according to the following schedule:

  • 75+ days before the event – Full refund
  • 15-74 days before the event – 50% refund
  • 0-14 days before the event – No refund

ACTIVITIES & NETWORKING

Are there any networking events planned?

Yes, we focus on having several networking opportunities available each day for our participants. Please see a full detailed list on the Activities & Networking page or visit the Agenda to see the full list of available opportunities. 

How do I sign up for daily activities?
  • You can sign up for activities during registration. 
  • If you would like to update your selected activities, simply follow the link in your confirmation email. Use the login credentials provided to access your registration history. If you need assistance at any point, please reach out to events@esca.org.
Do any activities require an additional fee?

While many of our activities are included with your registration, a few do require an additional fee. For detailed information on fees, please refer to the specific activity descriptions on the Activities page.

    1. Golf: The golf tournament has a separate fee, and if you need to rent clubs, there will be an additional charge for that as well. If you plan to bring your own clubs, there is no rental fee. 
    2. Fishing: Participants are responsible for purchasing their own 1-day fishing license here.

Can I sign up for multiple activities at the same time?

We ask that attendees sign up for one activity per day. Certain activities may overlap and to leave room for everyone at the conference please only sign up for one afternoon activity per day. 

How do I know if a specific activity is full?

Activities with limited availability will be clearly marked on the registration site as “Full” or “Waitlist Only” when you attempt to sign up. If an activity is already full, we recommend adding yourself to the waitlist, and we’ll notify you if a spot becomes available. 

Can I change or cancel my selected activity after registering?

Yes, you can update or cancel your selected activities by logging into your registration account. If you need further assistance or have any issues, please don’t hesitate to contact events@esca.org, and we’ll assist you with any changes.

Although some of these sponsored activities are offered to all on a complimentary basis, there will be an onsite cancellation fee of $75.00 for any sponsored activities that you sign up for and cancel less than two weeks in advance.  This is necessary due to the required minimum guarantees that must be submitted two weeks in advance."

How can I get to the golf course and infinity pool?

Complimentary transportation is provided for all resort guests to and from the golf course and infinity pool. 

Transportation for the golf tournament will be arranged by ESCA through private shuttles.

What is the official conference resort, and how can I contact them?

The official resort for the ESCA Summer Educational Conference is the Coeur d'Alene Resort.

What are the check-in and check-out times at the resort?
  • Check-in: 4:00 PM

What is the resort's cancellation policy?

You can cancel your reservation up to 7 days prior to the event without penalty.

Is there a discounted room rate for conference attendees?
Yes, the discounted rate is automatically applied when booking through the official reservation link. If you are calling in your reservation (800) 688-5253, please make sure to say you are with the ESCA Summer Educational Conference to receive your rooming discount.

What is the nearest airport to the conference?

Spokane International Airport (GEG)

  • The largest nearby airport, offering a wide range of domestic flights and rental car services.
  • 38.5 miles away. 

Coeur d’Alene Airport (COE)

  • A regional airport serving private and charter flights, located closer to the conference venue.
  • 8.1 miles away.
What are the best transportation options to and from the resort?

Attendees can arrive by car or flight. The Coeur d'Alene Resort is accessible from both Spokane International Airport (GEG) and Coeur d'Alene Airport (COE).

What are the transportation options for attendees flying into nearby airports?
The Coeur d’Alene Resort offers shuttle transportation from the following airports:

  • Spokane International Airport – $45 each way per guest
  • Coeur d’Alene Airport – $50 each way per guest.

    • A 48-hour notice is required for transportation reservations and cancellations.
    • Rideshare services such as Uber and Lyft are available at both Spokane International Airport and Coeur d'Alene Airport.

    Is parking available onsite?

    Overnight self-parking is available in a secured garage at $22 per night/per vehicle. Valet charges are $27 per night/per vehicle.

    Who can exhibit at the Summer Educational Conference?

    Exhibiting is open to companies offering products and services relevant to the event and exhibition industry.

    What are the benefits of exhibiting?

    Exhibitors gain direct access to industry leaders, dedicated show floor time each morning and during breaks, a 90-second presentation opportunity, and brand exposure through our website, digital materials, and onsite signage.

    How do I get a booth?

    What is included in the exhibitor package?

    Yes! Giveaways and promotional materials are encouraged to attract attendees to your exhibit space.

    How does the 90-second presentation work?

    Each exhibitor will have 90 seconds to introduce their product or service to the entire audience in a form of a video, power point presentation, or a speech. Please fill out the Exhibitor Submission Form for more details.
